ECM One, LLC d/b/a Sloane ("Sloane," "we," "us," or "our") provides an AI-powered phone answering and scheduling service (the "Services"). This Privacy Policy describes how we collect, use, disclose, and protect personal information from users, including business subscribers, end users, and callers. By using the Services or visiting https://hi-sloane.com (the "Site"), you agree to the practices described in this Privacy Policy.

1. Scope

This Privacy Policy applies to personal information we collect when you:

  • Use our Services as a business subscriber (a "Subscriber");
  • Call or interact with a business that uses Sloane (a "Caller");
  • Visit our Site or interact with our web applications.

Subscribers are the data controllers of Caller data. We act as a processor for Subscriber-controlled data. Callers should direct data access or deletion requests to the business they contacted.

2. Personal Information We Collect

We define "Personal Information" as any data that identifies, relates to, describes, or can be associated with an individual. This may include:

  • Name, phone number, email address, and company name
  • Business contact information and Subscriber account credentials
  • Voice recordings, call transcripts, SMS messages
  • Device, browser, IP address, and geolocation data
  • Calendar metadata (if integrated)
  • Usage logs and feature interactions
  • Payment data processed by Stripe or other third-party processors
  • Internet or other similar activity (e.g., browsing history; content interactions)

We do not treat aggregated or anonymized data as Personal Information.

3. Sources of Personal Information

We collect information from:

  • Users who register for an account or use the Services
  • Callers who contact a Subscriber's AI receptionist
  • Third-party integrations such as Google Calendar or Outlook
  • Analytics tools, support systems, and email communications
  • Publicly available business information (e.g., Google Business Profile scraping tools, OpenAI scraping tools and other scraping tools)

4. Use of Personal Information

We use Personal Information for the following business purposes:

  • To deliver and improve our Services
  • To assign phone numbers, route calls, and return voicemails
  • To support appointment scheduling via calendar integrations
  • To personalize AI call responses for each Subscriber
  • To maintain usage logs and call analytics
  • To comply with legal requirements and prevent fraud

We do not use Personal Information for advertising, profiling, or data resale.

5. Call Recordings, Transcripts & Consent

Sloane records incoming calls to assist with voicemail, transcription, and scheduling. A consent message is played at the beginning of each call to notify Callers that the call may be recorded. If the Caller does not consent, they should disconnect.

Subscribers have access to their call recordings and transcripts through their dashboard. We do not share call data with third parties except as necessary to deliver the Services.

6. Retention of Personal Information

We retain Personal Information for the following durations:

  • Subscriber account and call data: as long as the account is active, plus up to 30 days after deletion
  • Voicemail recordings and transcripts: until manually deleted by the Subscriber
  • SMS history and calendar metadata: temporarily, as required for scheduling
  • Backup logs and diagnostic data: for security and reliability purposes only

Subscribers may delete recordings or accounts at any time through their profile. Deleted data may not be recoverable.

7. Disclosure of Personal Information

We disclose Personal Information:

  • To Subscribers, who are the owners of their own data
  • To our subprocessors and infrastructure providers (e.g., Twilio, Azure, ElevenLabs, Google Cloud) under binding agreements
  • To law enforcement or regulators, if required by subpoena or court order
  • In connection with business transfers, mergers, or acquisitions

We do not sell Personal Information, share it for cross-context behavioral advertising, or allow third-party ads on our platform.

8. Third-Party Services

If you connect third-party accounts to Sloane (e.g., Google Calendar or Outlook Calendar), we access only the temporary data necessary to support call scheduling. We do not permanently store your third-party credentials or full calendar history. We do not use or transfer your data to develop, improve, or train generalized/non-personalized AI and/or ML models. We do not use or transfer third-party API data (e.g. Google Calendar or Outlook Calendar) to develop, improve, or train generalized/non-personalized AI and/or ML models. These integrations follow the permissions and data-sharing rules of the respective third-party platforms.

9. Privacy Controls on the Services

Sloane provides Subscribers, prospective Subscribers, and Site visitors with options to access and control how we collect and use your Personal Information on our Services. If you have interacted with a form of artificial intelligence provided by a Subscriber, please contact the Subscriber to learn about your privacy controls.

Privacy Requests. If you are a Caller, please direct any privacy-related requests or inquiries to the Subscriber you contact via our Services. Otherwise, to exercise privacy rights as a Subscriber or Site visitor, express concerns, lodge a complaint, or request information, please contact support@hi-sloane.com. Sloane responds to privacy requests as required by applicable law.

Subscriber Accounts. Subscribers can access, correct, update, or delete certain Personal Information on their account by logging in and saving their changes or adjusting their settings. If you require assistance or want to revoke a consent you previously gave us, please contact support@hi-sloane.com.

Emails from Sloane. Sloane may send you support emails related to your account or, if you opt-in, we will send you marketing emails. You can unsubscribe or change your preferences via the links provided in the emails or send a request to support@hi-sloane.com. If you opt out of marketing emails, we will still send support emails related to your account.

Texts from Sloane. If you provide your wireless number, you consent to Sloane sending you service text messages. However, we will only send you marketing text messages if you opt in. The number of texts you receive will depend on the Services you use and the information you request from us. Callers may receive texts from Sloane on behalf of the Subscriber they called. These texts are sent according to the Subscriber's privacy practices. Please contact the Subscriber with questions or concerns. You can unsubscribe from text messages by replying STOP or UNSUBSCRIBE to any of these text messages. Messaging and data charges may apply to any text message you receive or send. Please contact your wireless carrier if you have questions about messaging or data charges.

Your Device Settings. You can control the data we collect through cookies and related technologies by adjusting your device settings or your cookie preferences on the website.

Do Not Track. Do Not Track signals are signals sent through a browser informing us that you do not want to be tracked. Currently, our systems do not recognize browser "do-not-track" requests.

10. Cookies & Analytics

We do not use cookies for advertising. We may use minimal analytics (e.g., Google Analytics) to improve functionality and track Site performance. Users may block cookies via browser settings.

11. Your Rights

Depending on your jurisdiction (e.g., California under CPRA, Virginia under VCDPA, or Canada under PIPEDA), you may have rights to:

  • Access, correct, or delete your Personal Information
  • Know the categories of data we collect and disclose
  • Opt out of data sale (not applicable, as we don't sell data)
  • File a complaint with a regulatory authority

Callers must contact the Subscriber (business they called) to exercise these rights. Subscribers may manage their data through the Sloane dashboard.

12. Security Practices

We use secure cloud storage, TLS encryption, access controls, and audit logging to protect your data. While no system is 100% secure, we follow industry best practices. Subscribers are responsible for the security of their login credentials.

13. International Use

Our Services are intended for U.S. and Canadian businesses. Data is stored in the United States. If you use the Services from another region, you consent to the transfer and processing of your data in the U.S.

14. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post an updated version with the effective date at the top. Continued use of the Services constitutes acceptance of the revised Policy.
